Privacy Policy

Information you give us

• Quote and reservation requests. Your name, email address, phone number, farm name and town or county, along with the varieties, quantities and timing you are asking about, whether you want pickup or delivery, any seed treatment or inoculant you ask for, and any notes you add.

• Customer accounts. Your name, email address, phone number, farm name, town or county, province and a password. Passwords are stored in scrambled (hashed) form by our sign-in provider. We cannot see them.

• Your request history. The quotes we send you, status updates, quotes you accept, and questions you send us through your account.

• Messages through the contact form. Your name, email address, phone number if you give one, the topic and your message.

• Your email preferences. Whether you have asked to receive news from us.

Information collected automatically

• Technical information. Your IP address, browser and device type, the pages you view, the page that referred you, and the date and time. This is recorded by our hosting provider and by our analytics tools.

• Actions on the website. For example starting or submitting a request, downloading a spec sheet, clicking our phone number, email address or directions, creating an account, accepting a quote, and using the Seed Selector.

• Seed Selector answers. The field conditions and priorities you enter are used to produce recommendations. They are not linked to your name unless you go on to reserve seed.

We do not collect payment card information through this website.

We use personal information to:

• answer your enquiries, prepare and send quotes, hold and fill reservations, and arrange seed treatment, pickup or delivery;

• create and run your customer account and show you your request history;

• send you service emails, such as confirmation that we received a request, notice that a quote is ready, status updates, account confirmation and password resets;

• send you news about seed availability, new varieties and farm events, only if you have asked us to;

• keep the website working and secure, which includes detecting automated abuse, fixing problems and understanding which pages and tools are useful;

• measure how our advertising performs, if we run any; and

• meet our legal, tax, accounting and regulatory obligations.

We collect only what is reasonably needed for these purposes. If we want to use your information for a new purpose, we will tell you first and ask for your consent where the law requires it.

When you give us information through a form on this website, you consent to us using it for the purposes described here. You can withdraw your consent at any time by contacting our Privacy Officer, subject to legal or contractual restrictions and reasonable notice. If you do, we may not be able to provide some services. For example, we cannot send you a quote without a way to reach you.

Service emails are about your own requests and account. We send them because you asked us for something, and they do not depend on your marketing preference.

News and marketing emails are sent only if you have given us your express consent, for example by ticking the box when you create an account. The box is never ticked for you. Every such email identifies Galloway Seeds, includes our mailing address and tells you how to unsubscribe. You can also change your preference in your account settings or by contacting us. We act on unsubscribe requests within 10 business days.

Cookies are small files a website stores in your browser. This website uses them in the following ways.

• Essential cookies keep you signed in to your customer account. The account area cannot work without them.

• Google Analytics uses cookies to tell visitors apart and to record page views and the actions listed above, so we can see how the website is used. Google processes this information for us. You can read how Google uses information from sites that use its services, and you can install the Google Analytics opt-out browser add-on.

• Meta (Facebook and Instagram) measurement tools. If we run advertising on Facebook or Instagram, we may switch on the Meta Pixel and Conversions API. These use cookies to recognise a visit that followed an ad. When you submit a request or create an account, they may also send Meta a scrambled (hashed) form of your email address or phone number together with your IP address and browser details, so that Meta can match the action to an ad and report the results to us. Meta handles that information under its own privacy policy. You can control the ads you see in your Facebook ad preferences, or through the Digital Advertising Alliance of Canada's opt-out tool.

Most browsers let you block or delete cookies in their settings. If you block all cookies you will not be able to sign in to your account, but the rest of the website will still work.

We do not sell, rent or trade personal information. We share it only with companies that provide services to us, and only so they can provide those services:

• Vercel hosts the website.

• Supabase provides the database, customer sign-in and file storage.

• Resend delivers the service emails the website sends.

• Web3Forms delivers contact form messages to our office inbox.

• Google provides website analytics.

• Meta provides advertising measurement, when it is switched on.

• Render hosts the service behind the Seed Selector. It receives your Seed Selector answers, not your name or contact details.

• Storyblok stores the page content and photos shown on this website.

We may also disclose personal information to our professional advisers, where the law requires or permits it, and to a buyer or successor if the business or its assets are sold or reorganized, as PIPA allows.

Several of the service providers listed above store or process information outside Canada. Most of them operate in the United States, and Storyblok operates in the European Union. While information is in another country it is subject to that country's laws, and it may be accessible to that country's courts, law enforcement and national security authorities.

You can ask our Privacy Officer for written information about our policies and practices for service providers outside Canada, and for answers to any question about how those providers collect, use, disclose or store personal information on our behalf.

We take reasonable steps to protect personal information from loss, theft and unauthorized access. The website is served over an encrypted connection. Customer records can only be opened by staff who are signed in with their own accounts and have been given access. Passwords are stored in hashed form by our sign-in provider.

No website or method of storage is perfectly secure. If a loss of, or unauthorized access to, your personal information creates a real risk of significant harm to you, we will notify you and the Information and Privacy Commissioner of Alberta as PIPA requires.

We keep personal information only as long as it is reasonably needed for the purposes described here, or as required for legal, tax and business record keeping. After that we securely destroy it or make it anonymous.

Your customer account stays open until you ask us to close it. Closing an account removes your sign-in and profile. Records of past requests, quotes and orders, including the contact details on them, are kept as business records.

You can update most of your details yourself in your account settings. You also have the right to ask what personal information we hold about you, how we have used it and who we have disclosed it to, and to ask us to correct it if it is wrong.

Please make your request in writing to our Privacy Officer. We may need to confirm your identity first. We will respond within 45 days, as PIPA requires. There is no charge to correct your information. If a request to see your information involves a reasonable cost, we will tell you the amount before we go ahead. In the limited situations where the law allows or requires us to refuse a request, we will explain why.

This website is intended for farm businesses and adults. We do not knowingly collect personal information from anyone under 18.

This website links to other websites, such as seed guides, variety developers and our Facebook page. Those websites have their own privacy policies, and we are not responsible for how they handle your information.

We may update this policy as the website or the law changes. The date at the top of the page shows when it was last updated. If a change is significant, we will say so on the website or let you know by email.
